IBA Officers Retreat 2026 – Terms & Conditions
1. Organizer
The IBA Officers Retreat 2026 ("Retreat") is organized and administered by Running26 ApS ("R26").

2. Registration
Registration is binding upon submission of the registration form.
Participation is subject to availability and confirmation by R26.
Registration is confirmed upon receipt of full payment.
By submitting a registration, the participant confirms acceptance of these Terms & Conditions.
3. Participation Fee
The participation fee is stated on the registration website.
The fee includes only those services expressly described in the Retreat programme and registration materials.
Unless expressly stated otherwise, the participation fee does not include:
- travel to and from Denmark;
- personal expenses;
- travel insurance;
- cancellation insurance;
- any services not specifically included in the Retreat programme.
In the event of changes to applicable taxes, VAT rates, governmental charges or mandatory fees imposed after publication of the Retreat fee, R26 reserves the right to adjust the participation fee accordingly.
4. Invoicing and Payment
Following registration, participants will receive an invoice from Running26 ApS.
Payment is due within seven (7) calendar days from the invoice date unless otherwise stated on the invoice.
R26 reserves the right to cancel a registration if payment has not been received by the applicable due date.
All payments are non-refundable except as expressly provided in these Terms & Conditions.
5. Changes Requested by Participants
Requests for changes to accommodation, transportation, travel information, accompanying guests or other arrangements must be submitted in writing to IBA@R26.dk.
All changes are subject to availability and operational feasibility.
Additional costs resulting from requested changes shall be borne by the participant.
Participants are responsible for ensuring that all information provided during registration is complete, accurate and submitted in a timely manner. R26 shall not be liable for costs, delays, service limitations or other consequences resulting from incomplete, inaccurate or late information provided by the participant.
No changes can be guaranteed after 1 September 2026.
6. Cancellation by Participant
All cancellations must be submitted in writing to IBA@R26.dk.
Due to the nature of the Retreat and the substantial commitments made towards hotels, venues, transportation providers, restaurants and other suppliers, the following cancellation fees apply:
- Cancellation on or before 31 July 2026: 50% of the participation fee.
- Cancellation from 1 August to 31 August 2026: 75% of the participation fee.
- Cancellation on or after 1 September 2026: 100% of the participation fee.
No refunds shall be granted for non-attendance, late arrival, early departure, unused services or failure to participate in any part of the programme.
Participants are encouraged to obtain appropriate travel and cancellation insurance.
7. Substitution of Participant
A registered participant may transfer their registration to another eligible IBA Officer, subject to prior written approval from Running26 ApS.
Requests for substitution must be submitted no later than 20 September 2026.
Running26 ApS reserves the right to decline substitution requests where operational, accommodation or transportation arrangements cannot reasonably be amended.
Any additional costs arising from a substitution shall be borne by the participant requesting the transfer.
8. Programme Changes
R26 reserves the right to make reasonable changes to the Retreat programme, including changes to speakers, venues, restaurants, activities, transportation arrangements, accommodation arrangements and schedules where required by operational, logistical or safety considerations.
Such changes shall not entitle participants to a refund or reduction of the participation fee.
9. Accommodation and Third-Party Services
Accommodation, transportation, restaurants, activities and other services included in the Retreat are provided by independent third-party suppliers.
While R26 carefully selects and coordinates such suppliers, R26 shall not be liable for the acts, omissions or services of any third-party provider except to the extent required by applicable law.
10. Right to Refuse Participation
R26 reserves the right to refuse, suspend or terminate participation where a participant's conduct is unlawful, disruptive, unsafe or materially interferes with the experience of other participants, the operation of the Retreat or the services provided by venues and suppliers.
No refund shall be due in such circumstances.
11. Force Majeure
R26 shall not be liable for any failure or delay in performing its obligations where such failure or delay results from circumstances beyond its reasonable control, including but not limited to:
- natural disasters;
- extreme weather conditions;
- epidemics or pandemics;
- governmental actions or restrictions;
- transportation disruptions;
- labour disputes;
- civil unrest;
- power outages; or
- other similar events.
In such circumstances, R26 shall be entitled to modify, postpone or cancel all or part of the Retreat.
Any refunds shall be limited to amounts, if any, recoverable by R26 from its suppliers.
12. Limitation of Liability
Participation in the Retreat is at the participant's own risk.
To the fullest extent permitted by applicable law, R26 shall not be liable for:
- indirect losses;
- consequential losses;
- loss of profit;
- loss of business opportunity; or
- other economic losses.
R26's aggregate liability arising out of or in connection with the Retreat shall in all circumstances be limited to the participation fee paid by the participant.
Nothing in these Terms & Conditions excludes liability that cannot lawfully be excluded under applicable law.
13. Personal Property and Insurance
Participants are responsible for their own personal belongings throughout the Retreat.
R26 accepts no responsibility for loss, theft or damage to personal property.
Participants are strongly encouraged to obtain appropriate travel, health and cancellation insurance.
14. Governing Law and Jurisdiction
These Terms & Conditions shall be governed by and construed in accordance with the laws of Denmark.
Any dispute arising out of or in connection with the Retreat or these Terms & Conditions shall be subject to the exclusive jurisdiction of the Danish courts.
